Export Fields

The fields of the export form are listed below and recommendations on how to use each of them are provided.

A short description of the export is entered in the Name field.

The Disabled checkbox is set to temporarily stop repeated exports.

The value in the Status field is set automatically. Possible options: Scheduled – The export launch is scheduled according to the repeat schedule. In the queue – Export execution has been added to the queue and will begin after processing the tasks in the queue in front of it. Processed – Export files are currently being created. Done – export is completed.

The Completed at field indicates the end time of the export.

The Download field contains a link to download the export file.

Field Expires indicates when the export file can no longer be downloaded.

The System log field contains a link to the syslog entry created for the export.

In the Next Launch field, the date and time of the next export are automatically set based on the schedule created in the “Regularity” section.

In the Run as field, select the administrator of the space on whose behalf the export is performed. After the export is completed, a notification is sent to the main email address of the person selected in this field.

In the Format field, select the format of the export file to be created, for example, CSV comma separator (.csv) or Microsoft Excel (.xlsx).

In the field Strategy indicates which export needs to be performed: full (i.e., all records of the selected types are exported) or partial (exporting records created or updated since a certain moment). If you use the schedule from the “Regularity” section, you can select a gradual export strategy (exporting records created or updated since the last launch). Please note: for record types with more than 10,000 records in the space, full export cannot be performed more than once every 23 hours.

The Changes since field is available when selected in the Strategy values “Partially”. The field specifies the date and time when the records were created or updated to include them in the export.

In the Time Zone field, select the time zone applied to the Changes since field.

The record types to include in the export are selected in the Type field. Select the Select All checkbox to select all record types.

By default, the String Encoding field is set to “Unix”. This means that only the line feed control character (LF or 0X0A) will be placed at the end of each line of CSV files created during export. If this field is set to “Windows”, then each line of CSV files will end with a carriage return and line feed control character (CR and LF or 0X0D and 0X0A) (typical for Microsoft Windows).

The Outdated email checkbox is set if you need to receive an outdated, non-configurable email containing a temporary link to download the export file.

The Dashboard field becomes available when selected in the The strategy of the Dashboard value is to export the selected dashboard to PDF. In this field, the dashboard for export is selected.

Field Page Orientation is available when exporting the dashboard in PDF format. In this field, select the desired page orientation in the created file: landscape or portrait.

The PDF Design field is available when exporting the dashboard to PDF format, provided that the PDF Design section in the Settings console contains more than one PDF design for dashboards. In this field, the PDF design for the exported dashboard is selected. If there is only one PDF design for the dashboard, this single design is used. In this case, the PDF Design field in the export record will appear after saving the record in its viewing mode.

The frequency of the export is selected in the Repeat field.

The Every field indicates whether certain days, weeks, months, or years should be skipped after the export is started (depending on the value of the Repeat field) before the next launch. For example, if the “Repeat” field is set to “Daily” and the “Every” field is set to 1, the export will be performed every day. If the value 2 is set in the Each field, the export will be performed in a day.

In the field Days of the week selects the days of the week on which the export will be performed.

The Days of the Month field selects the days of the month to which the export will be performed.

The Month(s) of the export are selected in the Month(s) field. If the value in the Day of the month field is not selected, the export will be performed in the selected months on the day specified in the Start Date field.

The Day of the Month field selects the day of the month on which the export will be performed.

In the Day of the Week field, select the day of the week on which the export will be performed.

The time of export execution is indicated in the In field.

In the Time Zone field, select the time zone that applies to the fields In, Start Date and End Date.

The Start Date field indicates the start date of the replay schedule.

The End Date field indicates the end date of the replay schedule.

In the Calendar field, a calendar is selected that determines which events should be skipped because they are scheduled outside the calendar hours.

The Recent Launches field lists the last 10 export launches processed according to the replay schedule.
