Organization fields

The organization’s form fields are listed below and recommendations on how to use each of them are provided.

The organization’s logo or the image of the main office building is added to the Image field. Click on the image to enlarge or edit it.

Enter the full name of the organization in the Name field.

The Disabled checkbox is set if the organization can no longer be linked to other records.

Additional information about the organization that may be useful is entered in the Notes field. It is possible to use basic text formatting in this field.

Field Attachments (add attachment) is a link that can be used to add an attachment to an organization. You can add several attachments.

The Business unit checkbox is set if the organization needs to be considered as a separate unit (in terms of reporting). This checkbox is only available for internal organizations.

The Region field indicates the region of the organization. You can select a previously used region name or enter a new one. For an internal organization that is not a business unit, the region of the unit of which it is a follower is set.

In the Parent Organization field select the parent organization for this organization. Organizations that are subsidiaries of this organization or subsidiaries lower in the organizational hierarchy are not available for selection.

A unique identifier is entered in the Financial ID field, by which the organization is identified in the financial system integrated into the space of the RR Tech Service Management (R-Service) system to which the organization belongs.

The head of the organization is selected in the Manager field. This field is used by the RR Tech Service Management (R-Service) system to find a match for a matching task when it is created based on a task template in which the Request Initiator Manager checkbox is selected. If the manager field in the initiator’s person record does not contain information or indicates an unavailable person, the RR Tech Service Management (R-Service) system uses instead the person selected in the initiator’s organization’s Manager field.

In the Deputy field, the person who replaces the head of the organization is selected.

In the Order Template field, an order template is selected that connects this organization with the store of the RR Tech Service Management (R-Service) system.

The End User privacy checkbox is set for organizations whose employees do not have roles in the system (end users). This checkbox is only available for external organizations. If the organization type is changed from “External” to “Internal”, the “End User privacy” checkbox will clear and disappear from the Organization card.

The organization’s phone numbers are indicated in the Phone field.

The primary email address and the Service Desk email address are specified in the Email field.

The Website field specifies the URLs of the organization’s main website and its Service Desk website.

The postal, legal, and other addresses of the organization are indicated in the Address field.

The Risks field contains risks that have been identified for the organization.

The Subsidiaries field displays the organizational units that make up the organization.

The Persons field displays all persons who work for the organization as employees or long-term contractors.
