Project Task Fields
The fields of the project task form are listed below and recommendations on how to use each of them are provided.
The ID field contains the project’s task ID. It is created automatically when the task is saved for the first time.
Theme (Subject)
Section titled “Theme (Subject)”A brief description of the project objective is entered in the Subject field.
Project
Section titled “Project”In the field Project specifies the ID and topic of the project to which the task belongs.
Requests
Section titled “Requests”The Requests field lists requests related to the project to which the task belongs.
Problems
Section titled “Problems”In the field Problems lists problems related to the project to which the task belongs.
Manager
Section titled “Manager”The Manager field displays the person selected in the Manager field in the project to which the task belongs.
Category
Section titled “Category”The project task category is selected in the Category field. The “Actions” category includes tasks assigned to individuals to perform certain project-related work. Approval tasks allow you to collect approvals for a particular project. The tasks of the “Control stage” category are used to indicate control points in the process of project implementation.
In the Phase field, select the phase of the project to which the task belongs.
Purpose
Section titled “Purpose”In the field The team is selected by team, which is assigned the project task. After selecting a team in this field, you can assign a task only to its participants.
Skill Pool
Section titled “Skill Pool”In the Skill Pool field, select skill pool, the participants of which are assigned a project task. If a skill pool is selected in this field, and the project task belongs to the “Actions” category, then such a task can only be assigned to participants in this skill pool. If a skill pool is selected, and the project task belongs to the “Approval” category, then such a task is automatically assigned to all participants in the skill pool when its status is updated from “Registered” to “Assigned”.
Assigned person
Section titled “Assigned person”In the Assigned Person field, select person to whom the project task is assigned.
Planned efforts
Section titled “Planned efforts”The Planned Efforts field is available for each assigned person, which indicates how much time the person will spend on completing the project task.
Required approvals
Section titled “Required approvals”The Required Approvals field indicates the number of designated persons who must approve the project task, after which its status will be updated to “Agreed”. The Required Approvals field is only available for project tasks of the Approval category.
Remaining approvals
Section titled “Remaining approvals”Field Remaining approvals shows the number of appointed persons who have not yet provided their approval for the project task. After their approval, the task status will be updated to “Agreed”. Field Remaining approvals are available only for project tasks of the “Approval” category.
Project content
Section titled “Project content”In the Project Content field there is a link to the latest “Project Content” file in PDF format, which was created for the coordinator. This field becomes available to the assigned persons after the assignment of the project task.
Supplier
Section titled “Supplier”In the Supplier field, select supplier organization, which provides assistance in completing the project task.
Supplier’s request ID
Section titled “Supplier’s request ID”In the Supplier request ID field, enter the identifier under which the request for assistance in completing the project task was registered in the supplier organization. If the supplier provided a link to the request, specify its URL in this field.
Expected Assignment
Section titled “Expected Assignment”Field Expected Assignment displays the date and time at which the assignment of the project task is expected. The value of this field is automatically set to the latest completion date for previous project tasks. This field becomes hidden after the assignment of the task.
Assigned
Section titled “Assigned”The Assigned field is automatically set to the date and time of the assignment of the project task.
Planned duration
Section titled “Planned duration”In the Planned duration field, enter the expected duration of the project task after its assignment or its start at the time specified in the Start no earlier field (if this field is filled in).
Round-the-clock work
Section titled “Round-the-clock work”The Round-the-clock operation checkbox is set if you need to use a calendar of round-the-clock operation (seven days a week) to calculate the deadline for completing a project task.
Start no earlier than
Section titled “Start no earlier than”The value is indicated in the Start no earlier than field if work on the project task cannot begin before a certain date and time.
Completion goal
Section titled “Completion goal”The Completion Goal field specifies the date and time by which the project task is expected to be completed. The value of this field is calculated automatically by adding the planned duration to the value of the Start no earlier than field. If the “Start no earlier than” field is not filled in, then the completion date is calculated based on the date of assignment of the task plus the planned duration, taking into account the time spent working on the project. If the “Start no earlier than” field is not filled in, and the project task has not yet been assigned, then the completion date is calculated based on the time of the intended assignment of the task plus the planned duration, taking into account the time spent working on the project. This field is hidden after the completion of the project task.
Deadline
Section titled “Deadline”The Deadline field specifies the date and time by which the milestone must be reached. If this field is not filled in, and the status of the phase to which the control stage belongs is set to ‘In progress’, then the value of the field is automatically set to the maximum completion time of the previous control stages. The Deadline field is only available for project tasks of the “Control Stage” category.
Status
Section titled “Status”The current status of the project task is selected in the Status field. The following options are available: Registered – the project task has not started yet. Assigned – you can start completing the project task, except when the Start no earlier than field is filled in. Accepted – The project task will be completed as soon as the person to whom it is assigned begins to complete it. In progress – the task is in progress. Suspended – further execution of the project task is temporarily impossible. The reason is indicated in the Comments field. Failure – The goal of the “Actions” category task cannot be reached. Rejected – the approving person has not provided his approval for the task. Completed – the task is completed. Agreed – the required number of approvals has been received from the approving parties. Cancelled – the task does not need to be completed (for example, because the project was rejected or the task was created according to the project template, but does not relate to this project).
Suspended to
Section titled “Suspended to”In the field Suspended to indicates the date and time at which the status of the project task should be changed from “Suspended” to “Assigned”. This field is only available for project tasks with the status “Suspended”.
Time spent
Section titled “Time spent”In the Time Spent field, enter the time spent on completing the project task since the start of work on it or since the last time the value of the time spent was added, if such a value was added.
Effort class
Section titled “Effort class”In the field Effort class, select effort class, which best reflects the type of effort for the time spent. This field is available if: firstly, a value is entered in the Time Spent field; secondly, the person who indicated the time spent belongs to an organization that uses timesheet settings, which activate time spent accounting and are associated with two or more classes effort.
Remaining efforts
Section titled “Remaining efforts”In the field The remaining effort introduces the time that still needs to be spent working on the project task to complete it. By default, the remaining efforts are calculated as planned efforts minus the time spent on the task.
Completed
Section titled “Completed”The Completed field automatically sets the date and time when the project task is saved with the status “Failed”, “Rejected”, “Completed”, “Agreed” or “Cancelled.”
Workflow
Section titled “Workflow”Predecessors
Section titled “Predecessors”The Predecessors field lists other project tasks that need to be canceled or completed in order for the status of the current project task to be updated to “Assigned”.
The successors
Section titled “The successors”In the field The Successors list other project tasks that cannot be assigned until the current project task is completed or cancelled.
Instructions
Section titled “Instructions”Instructions
Section titled “Instructions”The Instructions field provides instructions to the persons who are assigned the project task. It is possible to use basic text formatting in this field.
Comments
Section titled “Comments”Comments
Section titled “Comments”The Comments field lists all the comments added to the project task. For each comment, the name of the person who created it and the time of creation are indicated.
Comment
Section titled “Comment”The information for the person to whom the project task is assigned is entered in the Comment field. It also describes the actions that have already been taken so far, and the results of these actions. It is possible to use basic text formatting in this field.
Copy the project comment
Section titled “Copy the project comment”If the Copy project comment checkbox is selected, the comment (including attachments, if any) is added not only to the project task, but also to the project of which this task is a part.
Attachments
Section titled “Attachments”Field Attachments (add attachment) is a link through which you can add an attachment to a comment. You can add multiple attachments.
Basic plan (Baseline)
Section titled “Basic plan (Baseline)”Basic plan (Baseline)
Section titled “Basic plan (Baseline)”The Baseline section displays the fields of the project baseline tasks that are part of the project baseline currently selected in the project of which this project task is a part.
Time keeping records
Section titled “Time keeping records”Accounting of working hours
Section titled “Accounting of working hours”In the field Time Tracking lists all the time tracking records in your space that were created for a project task after it was saved with a value in the Time Spent field. The time records are grouped by person.
