Product Fields

The product form fields are listed below and recommendations on how to use each of them are provided.

An image or product logo is added to the Image field. Click on the image to enlarge or edit it.

The product name is entered in the Name field. Specify the brand, model, and product category to automatically create a name based on these values. For organizations that do not yet have product naming standards, the following is recommended. For hardware, use the following syntax to create names: [Brand] [Model] [Additional information] [Category]. Examples: Dell Latitude D620 laptop; IBM System p5 590 server; HP LaserJet 2500n color printer; Canon CanoScan LiDE90 scanner. For the software, use the following syntax: [Brand] [Software name]. Examples: Microsoft Windows 7 Professional; Microsoft Office Small Business Edition 2003; Adobe Reader.

The Disabled checkbox is set if the product can no longer be used to register new configuration Items (CI).

In the Brand field select the previously entered name or specify a new one. The name of the product manufacturer is usually used as the brand name.

The product model is specified in the Model field. This field is not available if the set of rules for the product category specifies: logical asset with financial data; logical asset without financial data; software; software distribution package.

The unique identifier assigned to the product by its manufacturer is entered in the Product Identifier field. Manufacturers call this IDENTIFIER in different ways, for example: product number, model number, part number, service label, article number, universal product code. This field is not available if the set of rules for the product category specifies: logical asset with financial data; logical asset without financial data; software; software distribution package. In the R-Service system, the product identifier must be unique for each brand, i.e. The combination of brand and product identifiers must be unique within the space of the R-Service system.

In the Category field, the corresponding product category is selected. Another product category can only be selected if it has the same set of rules as the previously selected product category.

In the UI Extension field, select UI extension, which should be added to the configuration item(s) if it is associated with the product.

In the Service field, select service, to which instances the product belongs.

In the field The Support team is selected by the team responsible for managing product information in the Configuration Management Database (CMDB).

Any additional useful information about the product is entered in the Notes field. It is possible to use basic text formatting in this field.

In the Supplier field, select the organization from which the product is being purchased. If the product was developed internally, select an internal organization that is related to the space to which the product belongs. Please note: if the product is leased, select the leasing company in this field. If one of the section categories is selected “Software”, the field indicates the organization that provides license certificates for this software product.

In the Financial Owner field, select the internal organization from whose budget the product is purchased. If one of the section categories is selected “Software”, the field indicates the organization from whose budget license certificates for this software product are purchased.

The Depreciation Method field indicates whether the configuration items (CI) based on this product are amortized, and if so, which depreciation method is applied. If one of the section categories is selected “Software”, the depreciation method applied to license certificates for this software product is indicated in the field.

In the field Expiration date introduces the number of years during which configuration items (CI) based on a given product are amortized. If one of the section categories is selected “Software”, the expiration date of the license certificates for the software product is indicated in the field.

The Rate field indicates the annual rate used to calculate depreciation using the balance reduction (or cost reduction) method for product-based configuration items (CI).

In the Workflow Template field a workflow template is selected, based on which the workflow for scheduled maintenance tasks will be formed.

The Repeat field indicates how often the workflow will be created.

The Disabled checkbox in the maintenance section temporarily stops the creation of scheduled workflows.

The Each field indicates whether, after creating a workflow, certain days, weeks, months, or years should be skipped (depending on the value of the Repeat field) before creating the next workflow. For example, if the “Repeat” field is set to “Daily” and the “Every” field is set to 1, then the workflow will be created every day. If the value 2 is set in the Each field, the workflow will be created every other day.

In the field Days of the week selects the days of the week on which the workflow will be created.

The Days of the Month field selects the days of the month in which the workflow will be created.

In the Month(s) field, the month(s) of workflow creation are selected. If the value in the “Day of the month” field is not selected, the workflow will be created in the selected months on the day specified in the “Start Date” field.
