Workflow Template fields

The workflow template form fields are listed below and recommendations on how to use each of them are provided.

A short description is entered in the Theme field, which is copied to the “Theme” field of the new workflow when it is created based on this template.

The Disabled checkbox is set if the workflow template can no longer be used to register new workflows.

The information that should be displayed when creating a new workflow based on this template is entered in the Instructions field. This field usually contains information on how to register a workflow. It is possible to use basic text formatting in this field.

The information is entered in the Comment field, which is copied to the Comment field of the new workflow when it is created based on this template. It is possible to use basic text formatting in this field.

In the UI Extension field, select UI extension, which is added to the workflow when applying this template.

The Service field specifies service, which should be selected in the Service field of the new workflow when it is created based on this template.

The organization selected in the Service Provider field of the associated service is automatically set in the Service Provider field.

The Category field specifies the category that should be selected in the Category field of the new workflow when it is created based on this template. If it is an Order category, a placeholder for the order fulfillment task template is automatically added when saving.

The Type field specifies the type to be selected in the field The type of the new workflow when it is created based on this template.

In the field Justification indicates the justification that should be selected in the field Justification of the new workflow when creating it based on this template.

The Influence field shows the maximum level of influence selected in the task templates that are part of the workflow template. Please note: the level of influence is specified for service instance. Degradation of a service instance means that some of its non-core functions are not working, the response time of the service instance is slow, or the backup capabilities of the service are unavailable (for example, in case of server failure), even if the use of the service instance is not affected. An instance of the service is down or unavailable if any part of its core functionality is down.

In the Repeat field, select the frequency of creating a workflow based on this template.

The Disabled checkbox in the ”Regularity” section is set if it is necessary to temporarily suspend the creation of new workflows according to the schedule defined in the workflow template.

The Each field indicates whether to skip days, weeks, months, or years (depending on the value of the Repeat field) after automatically creating a workflow before creating the next one. For example, if the “Repeat” field is set to “Daily” and the “Every” field is set to 1, then the workflow will be created every day. If the value 2 is set in the Every field, the workflow will be created every second day.

Field In usually follows the Everyone field. In the In field specifies the time at which the workflow should be created based on this template. Example: Repeat is the value of “Daily”, Every is the value of “1 day”, In... is the value of “15:50”.

In the Day of the Week field, select the days of the week on which the workflow should be created based on this template.

In the Each field, select the days of the month on which the workflow should be created based on this template.

The Month field selects the months in which the workflow should be created based on this template. If the Day of the Month field is not filled in, the workflow will be created in the selected month(s) on the day specified in the Start Date field.

The Day of the Month field specifies on which day of the month the workflow should be created based on this template.

In the Day of the Week field, select the days of the week on which the workflow should be created based on this template.

The Time Zone field specifies the time zone that applies to the fields In..., Start Date and End Date.

The Start Date field indicates the date when the replay schedule for the workflow template takes effect.

The End Date field indicates the date after which the replay schedule for the workflow template will cease to be valid.

The Calendar field specifies the calendar that determines which events should be skipped because they are scheduled outside calendar hours.

The Last Appearance field is automatically set to the date and time when the last workflow was created based on the schedule defined in the “Regularity” section of the workflow template. There is also a link to the last workflow in this field. If the workflow could not be created on the specified date and time, then instead of a link to the workflow, the reason why the event did not occur is indicated.

The Next Occurrence field is automatically set to the date and time when the next workflow is created based on the schedule defined in the “Regularity” section of the workflow template.

The Workflow Manager field specifies the workflow manager, which is selected in the New Workflow Manager field, which is created according to the repeat schedule. If the Workflow Manager field is not filled in, the change manager for the service associated with the workflow template is selected instead.

You can use the Task Templates field to link task templates to the workflow template.

Using the Workflow field, you can link previous and subsequent task templates related to this workflow template.

The Service Instances field lists service instances associated with task templates related to this workflow template.

In the Configuration items (CI) field the configuration items (CI) associated with the task templates related to this workflow template are listed.
