Project Fields
The fields of the project form are listed below and recommendations on how to use each of them are provided.
ID
The project ID is specified in the ID field. It is created automatically when the project is saved for the first time.
Theme (Subject)
A brief description of the project's purpose is entered in the Subject field.
Manager
In the Manager field, select the person responsible for coordinating the implementation of the project.
The program
In the field Program indicates the program of which the project is a part. You can select a previously entered program name or enter a new one.
Service
In the Service field, select service for which the project is being implemented.
Service Provider
The organization selected in the Service Provider field of the associated service is automatically set in the Service Provider field.
Customer
In the Customer field, the organization for which the project is being implemented is selected.
Category
In the Category field, select category of the project.
Justification
In the field Justification selects the reason why this project should be implemented.
Working hours
In the Opening Hours field, select calendar, which determines the opening hours for calculating the expected dates for assigning and completing project tasks.
Time zone
In the Time Zone field, select the time zone that applies to the selected business hours.
Completion goal
The Completion Goal field specifies the date and time when the last task of the project needs to be completed.
Phase
The Phase field automatically sets the name of the first phase, which includes one or more project tasks that have not yet been completed (they do not have the corresponding completion status).
Status
The Status field is automatically set to a value that depends on the status of the project's tasks. The following options are possible: Registered – project tasks are not being completed yet; In progress – the project is under implementation; The process is suspended – completion of one or more project tasks did not go as planned; Completed – further actions on this project are not being performed for the reason specified in the Reason for completion field. When the project status is manually set to “Completed”, all project-related unfinished tasks change their status to “Canceled”. Related completed tasks (i.e. tasks with the status “Failed", “Rejected", “Completed“, ”Agreed“ or "Cancelled”) do not change their status.
Reason for Completion
In the Reason for Completion field, the corresponding reasons for the completion of the project are selected when it is completed. The value “Completed” is set automatically if all tasks related to the project change their status to “Completed", “Agreed“ or "Cancelled.”
Completed in
The date and time of saving the project with the status “Completed” are automatically set in the Completed in field.
Basic project assessment
Risk level
In the field Risk level the risk level of the project is selected.
Effort
In the field Effort indicates the estimated number of hours required by internal staff and/or long-term contractors to implement the project.
The cost of effort
In the field Cost of Effort indicates the estimated cost of effort required by internal staff and/or long-term contractors to implement the project. The amount is entered in the currency of the area in which the project is registered.
Cost of purchases
In the field Purchase price indicates the estimated cost of all purchases (equipment, consulting services, licenses, etc.) required for the implementation of the project. Periodic payments that will need to be made after the project is implemented must be included in the entire ROI calculation period. The amount is entered in the currency of the area in which the project is registered.
Total cost
In the field Total cost displays the total estimated cost of the project implementation. This is the sum of the estimated cost of effort and the cost of procurement.
Benefits
In the field Benefits indicates the estimated financial benefit that the implementation of the project will bring over the entire ROI calculation period. The amount is entered in the currency of the area in which the project is registered.
ROI
The ROI field displays the estimated return on investment in the project. This percentage is calculated by dividing the benefit (minus the total cost) by the total cost and multiplying the result by 100.
Set budget
The Budgeted checkbox is set if the project has been agreed upon and consideration of its financing is no longer required.
Risks
Risks
The Risks field lists the risks identified for this project.
Relationships
Requests
Using the Requests field, you can link requests for which the project is being implemented to the project. To select a completed request, enter its number (i.e. ID).
Problems
Using the Problems field, you can link Problems to the project that the project is being implemented to solve. To select a completed Problem, enter its number (i.e. ID).
Workflows
Using the Workflows field, you can link workflows created for project implementation to the project. To select a completed workflow, enter its number (i.e. ID).
Invoices
Invoices
The Invoices field lists all invoices added to the project. For each invoice, the date, number, description and amount are specified in this field. The total amount of all invoices for this project is displayed in separate amounts.
Comments
Comments
The Comments field lists all the comments added to the project. For each comment, the name of the person who created it and the time of creation are indicated in this field.
Comment
In the Comment field, a high-level description of the project is indicated and any information that may be useful to all project participants, including the approving persons and those involved in the implementation, is added. It is possible to use basic text formatting in this field.
Attachments
Field Attachments (add attachment) is a link through which you can add an attachment to a comment. You can add multiple attachments.
Basic plan
Basic plan (Baseline)
In the Baseline field, select project baseline to compare the progress of the project with the project plan at the time the baseline was created. A new baseline (or snapshot) is created for the project each time a new phase of the project starts. In the “Baseline” view mode, all fields of the selected project baseline are displayed.

You can use the Phases field to add phases to the project. The phases are offered from the available project templates.

The Time Records field lists all the time records of your space related to the project tasks.
